Xero Case Study: Kirstenhof Car Hire

TFI has used Xero in a customized solution for a car hire firm, Kirstenhof, in Cape Town, South Africa, to streamline business administration, analyze key operational data, create marketing opportunities and facilitate growth. The Complex and industry specific business needs that Kirstenhof Car Hire required, made the selection of an accounting system almost impossible. TFI has developed a customized cloud based solution that is tightly integrated with Xero to allow Kirstenhof the flexibility it needed to address ALL its operational needs. 

Over the years, Kirstenhof has attempted to use various accounting systems to run its business, and with each attempt, realized its complex operational needs far exceeded the limits of the system. TFI's years of experience and expertise in being able to quickly understand the operations needs of a business and develop specific solutions was a key factor in selecting TFI. TFI developed a cloud based line-of-business application for Kirstenhof, utilizing the same technologies that XERO itself is based on. The Kirstenhof Car Hire System “KCHS”. KCHS  incorporates all aspects of Kirstenhof’s car rental operations, seamlessly integrating accounting transactions with Xero, utilizing Xero’s developer tools and its powerful set of API’s.  

Addressing the company’s ambition to run smarter, the system first created a more automated foundation for generating quotations and invoices. Various operational elements were then added to create an integrated solution that incorporated a full workflow of the car hire process starting with a customer browsing the Kirstenhofcarhire.co.za website, querying car hire options, adding extra rental items, roof racks, baby seats etc, all the way to paying for the car hire itself. 

The solution developed for the client was also able to aggregate and analyse a wide range of data, delivering valuable information to Kirstenhof management. These included:

  • Tracking expenditure and revenue per vehicle, to assess the profit contribution of each asset; 

  • Tracking bookings and income per customer, to guide marketing efforts;

  • Tracking service intervals per vehicle, to alert the company to upcoming technical maintenance requirements;

  • Flagging landmark dates for long rentals, to remind customers of contractual obligations, service dates or amounts owing; 

  • Compliant and cloud-based credit card on file facilities, to allow prompt and effortless payment;

  • Triggering of email prompts to customers regarding various aspects of their hire contracts.
